Job opportunity: Executive Personal Assistant to Executive Director (ED)
AIP Foundation (Asia Injury Prevention Foundation) is a US 501(c)(3) non-profit organization whose goal is to reduce injuries from road accidents, particularly involving children. The Foundation is implementing national education and public awareness campaigns and carrying out research, testing and manufacture of motorbike helmets. Its Helmets for Kids program has distributed more than 450,000 helmets to schools throughout Vietnam, Cambodia, Laos, Thailand, and Africa. As road safety grows in importance as an international development issue, AIP Foundation is working to expand its programs throughout Asia and the world. AIP Foundation is currently seeking to fill the position of Executive Personal Assistant to Executive Director (ED) to be located in Ho Chi Minh City, Vietnam.
Summary:
The Executive Personal Assistant to the Executive Director role reports directly to the Executive Director. The responsibilities listed below are inclusive, but not exhaustive, of the role. It is reasonable to assume that additional tasks will be requested, as and when needed.
Qualifications & Requirements:
- University degree;
- Excellent written and verbal English
- Two years experience at Board level in a similar role
- Ability to prioritize while managing expectations
- Flexible attitude
- Excellent communication skills
- Ability to work well under pressure
- Ability to deliver within time frame
- Excellent organizational and planning skills
- A dynamic and professional individual with initiative
- Advanced Microsoft skills (Word, Powerpoint, Excel, Outlook)
- Honest and trustworthy
Key Responsabilities: To provide high level support to the Executive Director including:
Proactive support:
- To liaise between all staff and the Executive Director
- Alleviate the Executive Director’s workload where possible
- Use initiative and make executive decisions where appropriate
- Build efficient working relationship with Executive Director
One on one secretarial support:
- Provide comprehensive administrative assistance to the Executive Director
- Manage Executive Director’s diary (including arranging all meetings)
- Manage document production on behalf of Executive Director
- Document preparation (for meetings / conferences etc) Manage Executive Director’s phone line
- Meet and greet clients on behalf of Executive Director
- Maintain Executive Director’s inbox
- Maintain Executive Director’s filing system
- General clerical duties as assigned (in regard to the Executive Director)

This year, more than one million people across the world will die from road traffic injuries. Several million more men, women and young people will be injured or disabled.
In addition to the human suffering, the annual cost of road traffic injuries worldwide runs to hundreds of billions of dollars. In low- and middle-income countries, the economic cost of road injuries will be more than the development aid they receive.
Despite increased awareness and more dynamic efforts to improve road safety, the epidemic of road traffic fatalities and injuries will continue to be an important public health and development issue. Trends in many countries, in particular low-and middle-income countries, suggest that the problem could become noticeably worse within the next decade. There remains a pressing need for greater efforts and resources.
